How is my consult processed, and when am I asked separately?

AU processing consent, separate consent to record, and when a clinician must accept a single-use offshore offer. No automatic change of organisation profile.

On AU Sovereign, Small Mercy’s default transcription and note drafting stay in Australia: they run on vetted Australian services over private links inside Small Mercy’s cloud — disclosed on every note, under the consent your organisation gives for that processing. Ordinary consent to record is a separate authority, given for each consultation. Speaker identity, including any voice profile you record, is matched only on Small Mercy’s own infrastructure and is never sent to a provider. Clinical data is never used to train models — not by Small Mercy, and not by our providers.

What you’re asked, and when

Every session starts with consent to record, and Small Mercy asks again when someone new can hear the conversation. That consent covers the recording. The session’s processing on the pathway above runs under the consent your organisation gives for it, and every note discloses exactly which pathway drafted it.

A separate, explicit acceptance is asked before any Small Mercy-managed processing beyond that pathway — most importantly, before an offshore processing route. Audio never leaves Australia on the strength of a default: an offshore route runs only after clear disclosure and your explicit acceptance for that specific session and purpose, and it is never pre-authorised or carried from one session to the next.

Storage never moves

Your clinical record is stored in Small Mercy’s Australian cloud (Sydney) on the AU Sovereign and Global profiles, whatever the pathway. Where a session is processed never changes where your record lives. (The UK Sovereign region stores its records in the United Kingdom — Small Mercy in the UK has the detail.)

None of this arises on Global, where processing follows the organisation profile and consent selected at sign-up. If you’re not sure which profile you’re on, start with the sovereignty profiles.
